Privacy Notice
This notice explains how we handle personal data on DentalCad Hub, and how responsibility is split between us and the professionals using the platform.

1. Who is responsible
Destiny Cup SRL, Str. Nerva Traian 9, Bucharest 031042, Romania (registration J2020015243407, fiscal code RO43317526) is the controller of account and platform data. For case files and anything else you upload, you are the controller and we act as a processor on your instructions.
2. What we collect
Account data (name, email, role, password credentials handled by our authentication provider); profile data you choose to publish; billing data (company details, VAT identifier, invoices, payment references); content you create (cases, messages, files, reviews); and technical data such as log records and last activity time used to show whether a provider is active. For security we also record an anonymous device identifier stored in your browser, and a one-way scrambled form of your IP address. We never store the IP address itself.
3. Why we use it and on what basis
To provide the platform and perform our agreement with you; to issue invoices and meet accounting and tax obligations under Romanian law; to send service notifications and case reminders; to keep the platform secure and prevent abuse; and to keep records of legal acceptances so we can evidence what was agreed. Our legal bases are performance of a contract, legal obligation and our legitimate interest in operating a safe and functional service. We use the device identifier and scrambled IP address only to prevent fraud and repeat abuse: they let us detect when one person runs several accounts to avoid a dispute penalty or a suspension. This is based on our legitimate interest in a fair and safe marketplace (Article 6(1)(f) GDPR). An account using the same device as a penalised account may be restricted automatically, and you can always ask for a human review. You have the right to object to this processing at any time.
4. Patient data
The platform is not designed to hold identifiable patient data and you must not upload it. Anonymise or pseudonymise case files before uploading. If you upload patient data anyway, you do so as controller, on your own lawful basis and at your own risk, and you are responsible for any resulting breach.
5. Who else processes data
We use service providers acting on our behalf: our hosting and application platform, our email delivery provider for notifications, and our payment provider for token and subscription purchases. They process data only as needed to deliver those functions. Other users see the profile information you publish and the case content you send them.
6. International transfers
Some providers may process data outside the European Economic Area. Where that happens we rely on adequacy decisions or standard contractual clauses to protect the data.
7. How long we keep it
Account and case data are kept while your account is active and for a reasonable period afterwards. Invoices and accounting records are kept for the period Romanian law requires. Legal acceptance records are kept for as long as a claim could be brought. Device and scrambled IP records are kept while your account is active and are deleted when your account is erased.
8. Your rights
You may request access, correction, deletion, restriction, portability or object to processing based on our legitimate interest. Write to us using the contact details below. You also have the right to complain to the Romanian supervisory authority (ANSPDCP) or the authority where you live.
9. Cookies and local storage
We use only what is necessary to operate the platform: keeping you signed in, remembering your language, and limiting how often background updates run. We do not use advertising or cross-site tracking cookies.
